Operations Assistant
A great opportunity has arisen for an operations assistant.
My client are a well established recruitment company who promote a culture of working in a collaborative and fun team environment, from lovely offices in Tunbridge Wells.
The role:
Contracts and Data
Assisting the Operations Manager with:
Compliance checks and reference requests on candidates/GDPR
Drafting contractson both contractor and client side
Sending contracts to contractors and clients via AdobeSign
Logging status of contracts and chasing for signatures.
Filing contracts and other documents electronically
Check Runners list on regular basis
Chasing clients for Purchase Orders and logging for use when invoicing
Operations
Assisting the Operations Manager with:
Operations project work, for example, ISO certification, Carbon Emissions certifications, Industry Awards
Operational compliance, for example, industry certification, professional memberships
Office management tasks including, but not limited to, creating, editing and updating documents such as, company org chart, company spreadsheets, candidate reference forms, client questionnaires etc
Ordering office related provisions/office management tasks
Supplier Management/Purchasing
Assisting in the planning and organising of my clients events, including, but not limited to, all expenses covered summer and winter parties and additional events such as, charity events and team building activities
Assisting in onboarding new employees/offboarding employees
Adhoc operational tasks as required
Website
Design edits/improvements
Search Engine Optimisation (SEO)
Creating annual reports on SEO
Tracking competitor SEO to stay ahead of the game
Attending webinars to advance understanding and learning of new tech/trends
Utilising the Shazamme platform to create and enhance new business development strategies. i.e. client, candidate & event landing pages.
Finance
Assisting the Finance Manager with monthly invoicing (inbound and outbound) including checking timesheets and Purchase Orders (see above) and raising invoices.
Liaison with contractors regarding:
Invoicing instructions
Using Time Sheet Portal platform
Contractor payment queries
Assisting the Finance Manager with recording financial data such as new deals, perm placements, extensions
Assisting the Finance Manager with credit control, accounts reconciliation, bank payments
Remuneration:
Annual salary circa 28k. Cycle to work scheme, Pension, Private Healthcare, Gym membership. This role is hybrid following a probationary period, working hours are 9-5, five days a week.
